Privacy Policy
Last updated October 16, 2026
This policy explains what information Fieldhand collects, why we collect it, who processes it for us, and how long we keep it. We don't sell personal information.
Inside the app
- Account details: name, email, company, and role, plus a phone number, work location, reporting plant, and (for contract technicians) the contracting company, if they're entered. Administrators use these to manage access and the company contact list.
- Your company's records: equipment, notes, photos and videos, documents, parts and counts, lubrication programs, timers, meter readings, and oil samples. These belong to your company.
- Change history: who created, changed, or removed records, kept as part of your company's maintenance history.
- Document access log: which user opened which document, and when. We use it to protect your company's library and to detect unusual bulk access. Entries are deleted after 12 months. Alerts about unusual access may be kept with our support records.
- Pilot conversations: the questions you ask Pilot and its answers are saved to your account. You can see your own conversations, and your company's administrators can see all of them. We also record each person's Pilot usage to apply usage limits.
- Parts requests: unless your company sets its own recipients, parts requests (requester, plant, items, and notes) are sent to Fieldhand's order desk so we can fulfill them.
Who can see your company's data
Each company's data is isolated from other companies' users at the database level. Only authorized Fieldhand staff can access more than one company's data, and only to build and support accounts.
Fieldhand maintains a shared library of equipment documentation. Our staff may add manufacturer manuals and other publisher documents your company uploads to that library, and use them to set up other customers' accounts. We do not share documents your company authors, such as drawings, procedures, and internal standards, with other customers.
Pilot and AI processing
Pilot uses Anthropic's AI model in several places: answering questions, automatically tagging new notes and describing uploaded photos, and, when you use those features, reading scanned manuals, service sheets, and part photos. For these tasks, the relevant records (note text, photos, document pages, parts information, earlier messages in the conversation, and the names attached to those records) are sent to Anthropic. Anthropic does not use this data to train its models.
On your device
- Sign-in cookies that keep you logged in.
- The last page you read in each document, so you can pick up where you left off.
- If you pin a facility for offline use, a copy of its records. It stays on your device, even after you sign out, until you unpin it.
- Notes, photos, and changes you make while offline, stored on your device until they sync.
- If you use voice dictation, your browser's built-in speech service (for example Google's or Apple's) converts your speech to text.
On our website and demo
- Site analytics: a random visitor ID cookie, the pages viewed, the referring site, campaign tags, and device type (phone or computer).
- Contact and demo-prep forms: the name, company, email, phone number, and message you send us, plus any equipment details and documents you choose to upload so we can tailor your demo.
- Demo requests: the name, company, position, email, phone number, and equipment choice you enter when you start the demo, plus which link or campaign brought you.
- Demo activity: while you use the demo, we record which pages you open, how long you spend, which Pilot questions you try, and whether you book a walkthrough, and link that activity to your demo request. Demo cookies keep the link for 7 days. They also mark an active demo session and count return visits.
- Links we send: when you open a Fieldhand link we sent you, we record the time and your browser and device information.
- Advertising: our public website and demo pages use the Meta pixel to measure our ads and to show our ads to people who have visited our site or tried the demo. When you request the demo, your contact details may be shared with Meta in a protected (hashed) form to match ad results. The Meta pixel is not loaded for customers using the signed-in app.
Who processes data for us
We use established cloud providers to run Fieldhand: a database, file storage, and sign-in provider; an application hosting provider; an AI model provider for Pilot; an email delivery service; Meta, for advertising on our public pages only; and a scheduling provider when you book a walkthrough.
We share information with these providers only to run Fieldhand, or when the law requires it. Customers may request our current list of providers.
How we protect it
Data travels encrypted. PDF documents open as watermarked page images, and the original PDF files can't be downloaded through the app or around it.
How long we keep it
- Your company's records and account details: for as long as your company subscribes. When a subscription ends, your company can request an export of its records and uploaded documents.
- Document access log entries: 12 months.
- Website, contact, and demo information, including uploaded demo documents: until we've finished following up with you. Email us to have yours removed sooner.
Your choices
To ask what we hold about you, correct it, or have it deleted, email us. If your account belongs to your employer, some requests may need to go through your company's administrator. Fieldhand is meant for working adults and isn't directed at children.
Changes
If we change this policy, we'll update the date at the top of this page.
